Managing Billing

The Billing page lets you view your current plan, manage your subscription, and access invoice history.

Prerequisites

To access billing:

  • You must have Owner or Admin role
  • Go to Billing in the sidebar

Billing Overview

Current Plan

The billing page shows:

Trial Status

If you're on a trial:

  • Days remaining countdown
  • Trial end date
  • Prompt to select a plan

Viewing Usage

Current Usage

See how much of your plan you're using:

Usage Warnings

You'll see warnings when approaching limits:

  • Yellow at 80% usage
  • Red at 100% usage

What Happens at Limits

When you reach a limit:

Changing Your Plan

Upgrading

To upgrade your plan:

  1. Click Upgrade Plan or Change Plan
  2. Select the new plan
  3. Review the changes
  4. Confirm and pay

What happens:

  • New features available immediately
  • Prorated charge for remainder of billing period
  • New limits apply instantly

Downgrading

To downgrade your plan:

  1. Click Change Plan
  2. Select a lower tier
  3. Review what you'll lose
  4. Confirm the change

What happens:

  • Change takes effect at next billing cycle
  • Current features remain until then
  • Review usage to ensure you're within new limits
Check Limits First

Before downgrading, ensure:

  • You have fewer agents than new limit
  • Fewer team members than new limit
  • Less storage than new limit

You may need to remove items before downgrading.

Scheduled Changes

If you schedule a plan change:

  • Shows as "Scheduled" in billing
  • Lists the change and effective date
  • Can be cancelled before it takes effect

Payment Methods

Adding a Card

  1. Go to BillingPayment Methods
  2. Click Add Payment Method
  3. Enter card details
  4. Click Save

Updating a Card

  1. Go to Payment Methods
  2. Click Edit on existing card
  3. Update the details
  4. Save changes

Removing a Card

  1. Go to Payment Methods
  2. Click Remove on the card
  3. Confirm removal
Active Subscription

You must have at least one payment method while on a paid plan.

Invoice History

Viewing Invoices

  1. Go to BillingBilling History or Invoices
  2. See list of all invoices

Each invoice shows:

  • Invoice date
  • Amount charged
  • Payment status (Paid, Pending, Failed)
  • Download link

Downloading Invoices

  1. Find the invoice in history
  2. Click Download or the PDF icon
  3. Invoice downloads as PDF

Invoice Details

Invoices include:

  • Your organization details
  • PropPilot billing information
  • Line items and amounts
  • Payment method used
  • Tax information (where applicable)

Billing Issues

Failed Payments

If a payment fails:

  1. You'll receive an email notification
  2. A banner appears in PropPilot
  3. You have a grace period to update payment

To resolve:

  1. Go to Billing
  2. Update your payment method
  3. Click Retry Payment

Declined Cards

Common reasons for decline:

  • Insufficient funds
  • Expired card
  • Card blocked for online purchases
  • Incorrect billing address

Solution: Update card details or use a different card.

Disputed Charges

If you believe a charge is incorrect:

  1. Contact support with invoice details
  2. Provide specific concerns
  3. We'll investigate and resolve

Cancellation

Cancelling Subscription

To cancel your PropPilot subscription:

  1. Go to Billing
  2. Click Cancel Subscription
  3. Select a reason (helps us improve)
  4. Confirm cancellation

What happens:

  • Access continues until end of billing period
  • No further charges after current period
  • Data retained for 30 days after cancellation
  • Can reactivate within 30 days
Data Retention

After 30 days, your data may be permanently deleted. Export important data before cancelling.

Reactivating

To reactivate a cancelled subscription:

  1. Sign in to PropPilot
  2. Go to Billing
  3. Select a plan
  4. Complete payment

If within 30 days, your data will be restored.

Tax Information

Tax Invoices

PropPilot provides tax-compliant invoices:

  • VAT included for EU customers
  • Tax ID displayed where applicable
  • Download for your records

Updating Tax ID

If you need to add a VAT or Tax ID:

  1. Go to BillingBilling Details
  2. Enter your Tax ID
  3. Save changes

Future invoices will include your Tax ID.

Billing FAQ

When am I charged?

  • Monthly plans: Same date each month
  • Annual plans: Same date each year
  • Upgrades: Prorated charge immediately

Can I get a refund?

Contact support for refund requests. We evaluate on a case-by-case basis.

How do I get a receipt?

Download invoices from BillingBilling History. Each invoice serves as a receipt.

What currency am I billed in?

Based on your region:

  • Americas: USD
  • Europe: EUR
  • Middle East: AED

Can I switch to annual billing?

Yes, contact support to switch from monthly to annual billing and receive a discount.
