Agency Leads

When another agency reaches out to collaborate on your off-plan listings, PropPilot captures that request automatically and notifies your team by email. The Agency leads page brings those requests into one place inside your workspace, so nothing gets lost in an inbox.

The page appears in the sidebar only when agency collaboration is enabled for your workspace. If you don't see it, the feature isn't turned on yet for your account.

Opening the page

Select Agency leads in the sidebar (under the CRM section). You'll see every agency collaboration request captured for your workspace, with the most recent at the top.

Each row shows:

  • Agency — the collaborating agency's name (when provided).
  • Contact person — who reached out on the agency's behalf.
  • Contact — the matching contact in your workspace.
  • Contact method — the phone number and/or email the agency left, so you can reach back out.
  • Project — the listing the agency is interested in.
  • Status — where the lead is in your follow-up: New, Notified, Contacted, or Closed.
  • Priority — high-interest leads are flagged so they stand out.
  • Created — when the request came in.

Filtering and searching

Use the controls above the list to narrow it down:

  • Status — show only leads at a given stage.
  • Priority — show only the leads flagged as priority.
  • Project — focus on a single project.
  • Search — type an agency name or contact person to find a specific lead.

The list updates as you change filters, and longer lists are split into pages.

Opening a lead

Select any row to open its full details. The panel shows everything captured for that lead — the agency, who got in touch, the matching contact in your workspace, the phone and email left for you, the project, and the dates the request came in and was last updated.

When the lead came from a conversation, a View conversation link takes you straight to that thread in your inbox, so you have the full context before you follow up.

Changing a lead's status

From the detail panel you can move a lead forward through your follow-up:

  • NewNotifiedContactedClosed

Pick the new stage and select Update status. A lead can only move forward, so earlier stages aren't offered once you've advanced it. Moving a lead to Closed asks you to confirm first, since a closed lead is treated as handled. Once a lead is Closed, its status can't change again.

The list refreshes automatically after a change, so your team always sees the current stage and no lead gets worked twice.

If the list is empty

If no agency leads have been captured yet, you'll see a short message instead of a table. New requests appear here automatically as they come in — there's nothing to set up.
